Privacy Policy

1.Person in charge of personal information

Sylvain Sourdif, President, is the person in charge of protecting personal information at Prestige Média. For any question, request or complaint about your personal information, email info@pmd2d.ca, call 514-777-2672 (Monday to Friday, 8 a.m. to 6 p.m.) or write to: Prestige Média Inc., 4284 rue de LaRoche, Suite 508, Montréal, Quebec H2J 3H9.

2.Information we collect

When you fill out the quote request form, we collect:

• your name and your company name;
• your email address and, if you provide it, your phone number;
• your project details: project type, target area, approximate number of doors, preferred date and description;
• your consent, as well as the language and the page of the site the request was sent from.

As part of our addressed direct mail and mail processing services, our clients entrust us with recipient lists (names and mailing addresses, sometimes other fields used to personalize the pieces). We process these lists on our clients' behalf, solely to carry out their campaign.

When you visit the site, our hosting provider automatically records technical data needed for it to work and stay secure (IP address, browser type, page visited, date and time). If you accept it, Google Analytics also collects audience measurement data (see the section on cookies).

3.Why we use it

We only use your information to:

• respond to your request and send you a quote;
• contact you about your project and, if you hire us, carry out your campaign and manage our business relationship (including billing);
• produce our clients' addressed mailings from the lists they entrust to us;
• keep the site running properly and securely;
• if you accept it, measure site traffic to improve it.

We never sell or rent your personal information. We don't use it for any other purpose without your consent, unless the law allows or requires it.

4.Your consent

We collect your information directly from you, with your consent. By checking the consent box and submitting the form, you agree to its use for the purposes described above. Audience measurement is only turned on if you click "Accept" in the cookie banner.

For recipient lists, our clients undertake to have compiled them, and to send them to us, in accordance with the law.

You can withdraw your consent at any time by emailing info@pmd2d.ca. We may then no longer be able to follow up on your request.

5.Who has access to your information

Within Prestige Média, only the people who need it to handle your request or carry out a campaign have access to your information. We also rely on the following service providers, who only use your information to provide their services to us:

• Formspree: receives the requests sent through the form and forwards them to us by email;
• Vercel: hosts the site and its files;
• Google (Google Analytics): audience measurement, only if you accept it;
• Canada Post: delivers the addressed mailings we produce for our clients.

6.Transfers outside Quebec

Formspree, Vercel and Google may store or process information outside Quebec, including in the United States. Before sharing personal information outside Quebec, we assess, as the law requires, whether it will receive adequate protection, in particular in light of generally recognized principles of personal information protection, and we govern the transfer by contract.

7.Cookies and audience measurement

By default, no audience measurement tool is active on the site. Google Analytics 4 only loads if you click "Accept" in the cookie banner; until you do, no analytics cookies are set and no data is sent to Google. Google's advertising features always stay off.

If you accept, Google Analytics sets the "_ga" and "_ga_<ID>" cookies, which count visits and show how the site is used (pages viewed, device type, approximate region, traffic sources). It also records form submissions, with the project type and number of doors entered, but never your contact details.

Your choice (accept or decline) is saved in your browser, using local storage, for 13 months. You can change it at any time with the "Manage cookies" link at the bottom of every page; if you withdraw your consent, the Google Analytics cookies are deleted.

8.How long we keep it

We only keep your information for as long as needed for the purposes it was collected for:

• quote requests that did not lead to a contract: 24 months after our last exchange;
• client information: for the duration of the business relationship, then 6 years to meet our accounting and tax obligations;
• copies of requests in our Formspree account: deleted no later than 90 days after receipt;
• recipient lists entrusted to us for direct mail and mail processing: deleted 30 days after the campaign;
• Google Analytics data: 14 months; "_ga" cookies: up to 2 years, or until you withdraw your consent;
• your cookie choice: 13 months in your browser;
• the hosting provider's technical logs: for the short period set by Vercel.

At the end of these periods, the information is securely destroyed or anonymized.

9.Security

We take reasonable security measures suited to the sensitivity of the information: access limited to the people who need it, password-protected accounts, encrypted connections (HTTPS) and deletion of recipient lists after use.

10.Your rights

At any time, you can:

• ask whether we hold personal information about you and get a copy of it;
• have inaccurate, incomplete or ambiguous information corrected;
• withdraw your consent to its use;
• ask us to stop disseminating your information or to de-index any hyperlink attached to your name, in the cases provided for by law;
• ask that the information you provided be sent to you, or to an organization of your choice, in a structured, commonly used technological format.

To exercise these rights, email info@pmd2d.ca. We may ask you to confirm your identity. We respond in writing within 30 days of receiving your request.

If you are not satisfied with our response, you can file a complaint with the Commission d'accès à l'information du Québec (www.cai.gouv.qc.ca).

11.Privacy incidents

If a privacy incident occurs (unauthorized access, use or disclosure, or loss of information), we promptly take steps to reduce its consequences and prevent it from happening again. If the incident presents a risk of serious harm, we notify the Commission d'accès à l'information and the people concerned. We keep a register of all incidents.

12.Changes to this policy

We may update this policy, in particular if our practices or the site's tools change. The current version is always posted on this page, along with the date it was last updated.
